Well-established Westerville, Ohio, CPA firm is looking for a self-motivated individual to join our fast-paced, public accounting firm. The ideal candidate will be a pro-active, customer service driven, skilled administrative assistant with 2+ years' experience. Prior CPA firm experience is a big plus!
In this critical role you will:
- Answer calls and greet clients/visitors at the front desk
- ssemble paper copies of prepared tax returns, financial statements and other client documents with accuracy
- Utilize software to distribute tax returns electronically; providing technical support to clients as needed
- Regularly scan documents and/or ensure received electronic files are stored appropriately to maintain office filing system
- Prepare and maintain ongoing supply of current address labels and envelopes needed for tax return assembly
- Log in projects and update tasks in workflow tracking system, print route sheets and pull client files for distribution to assigned staff
- Set-up new clients by adding to office databases and accounting software, creating projects, providing portal access and preparing engagement letters/organizers etc.
- Schedule and track appointments for Directors
- Coordinate incoming and outgoing mail to include fax distribution and courier scheduling
- Process credit card payments and support Office Manager with billing
- Assist in annual preparation and distribution to clients of tax organizers, business engagement letters and checklists
- Perform administrative functions as needed such as copying, scanning, filing, proofreading, generating letters/emails/memos and report creation etc.
- Maintaining and tidying common spaces (e.g. - reception area, copy room, break room, etc.)
You should consider our position if you have the following skill set:
- Proficiency in MS Word, Excel and Outlook and scanning documents
- Ability to learn new software is a must; working knowledge of Thomson Reuters Software (Practice CS, FileCabinet CS and UltraTax) is a plus
- Exceptional communication and customer service skills
- Detail-oriented with strong multi-tasking abilities
- Excellent organizational skills and dedication to completing projects in a timely manner
- Positive attitude, pro-active, welcoming, and willing to assist
- Dependable and flexible with work schedule demands
- Ability to stand for long periods of time to perform some of assigned tasks
Hours:
- Regular work schedule: Monday – Friday, 8am to 5pm; except in the summer (June, July and August) when our office is closed on Friday, then the summer work schedule is four ten-hour days, Monday – Thursday, i.e., 7:30am to 6:30pm or 8:00am to 7:00pm
- Occasional unplanned overtime will occur, most commonly during busy tax season when some Saturdays may be required
